Most Purdue Fort Wayne students who study abroad participate in faculty-led programs. For many students, a faculty-led program is their first experience with traveling abroad. The advantage of being on location provides many benefits, but also many distractions. Students often see their personal growth and adventures as more important than their academic studies, and as a result they need to be encouraged to attend all classes consistently and to complete all assignments. You might need to remind them that they are not getting credit for living or traveling in the country of your study-abroad program. In a very direct way, you are helping to train the globally aware leaders of tomorrow by providing life-changing experiences abroad.
Proposal Development and Approval Process

Although much work is involved in developing and producing a successful faculty-led study-abroad experience, you are not alone in this endeavor—our staff is happy to assist you. Please review the information provided to guide you in the process of program development and approval. As always, please do not hesitate to contact us for any assistance or clarifications we can provide.
A faculty member will complete and submit a Study Abroad Program proposal. All the following documents should be submitted electronically to the director of study abroad:
- Proposal cover sheet
- Proposal narrative
- Itinerary
- Syllabus for each course offered (The syllabus should include the course name, course number, contact/preparatory hours, learning objectives, and assessment mechanism of those objectives. If the course provides graduate credit, a separate syllabus is needed that clarifies how the learning content and assessment are more rigorous than the undergrad course.)
- Preliminary budget created with the faculty member’s business manager
- Short description of the program (one to two paragraphs)
- Once the submission is received, the director of study abroad will confirm completion and note any issues that need clarification.
- The director of study abroad then provides preliminary approval of the proposal.
- The proposal is then submitted to the chair, dean, or associate vice chancellor for final signature. They may ask for additional information or clarification.
- Once all signature approvals are received, the director of study abroad will confirm the budget with the faculty leader. If there are any changes to the budget that result in increased cost per student, the final budget must be submitted to the Study Abroad Program to secure signature approval from the chair, dean, or associate vice chancellor.
- When the proposal and final budget are confirmed, Study Abroad Program will build the program in the study abroad portal and notify you that the program is open to applications.
All study-abroad proposal budgets must utilize the budget template, and be drafted with the relevant college’s business manager. After receiving preliminary approval for the proposal from the Study Abroad Program, the faculty leader should finalize the budget with their college’s business manager to confirm final costs. The final budget determines the student price; students are unable to apply to the program until a final budget is completed. In addition, the price per student cannot be increased once the final budget is approved.
It is important to begin working on the final budget as soon as the program receives preliminary approval. A budget is built on a minimum number of participants. This is to ensure that a small number of participants are not bearing the entire cost of the faculty members’ expenses. If outside funding is available to support program costs, or with chair written approval, the minimum-student-participant threshold may be flexible.
