Registering Your Program

Process for INTERNAL Events:

  • Register your Program in Ideal-Logic HERE
    • This form is required for ALL programs that are not specifically excluded.
      • This form must be completed annually
      • For repeating events, fill out one form for multiple dates/sessions. You will be able to access the form as needed for future dates/info.
      • Due a minimum of 30 days before your event registration begins or the event start date (whichever is sooner)

      • After creating your Ideal-Logic Account:
        • Enter information for all your program staff
        • Check full name of program staff in:
        • If you have a positive result from either website, immediately notify Human Resources and [email protected] for a determination on the participation of that participant.
        • NOTE: Program Director may not rely on professional licensure or checks conducted by other organizations for your program staff.
        • NOTE: Purdue affiliated faculty/staff/students are no longer excluded from this check.
        • These checks must be conducted, at minimum, every 12 months

    • TRAINING REQUIRED BY TYPE:
      • Front Line Staff or Volunteers Training:
        • Training topics should include:
          • Recognizing Abuse and Neglect
          • How to Report Abuse
        • Examples: supervised volunteers at large single day events, non-custodial program staff, employees in departments employing minors, members of RSO’s and current students that might interact with minor recruits
      • Program Staff Training:
        • Training topics should include:
          • Appropriate interactions and communications
          • Bullying intervention
          • Prohibited conduct
        • Examples: Custodial Program Staff Training (including volunteers)
      • Program Director Training:
        • Training topics should also include:
          • Adequate screening of staff and volunteers, recognition of signs of predatory behavior, strategies for prevenient child sexual abuse, age appropriate staffing ratios
        • Frequency of Training: all categories above must complete the required training at least every 24 months
    • INCIDENT REPORTING
      • Immediately/while still on site: call 911 or law enforcement
      • And immediately after, email youth protection at [email protected]
        • Then as directed by Youth Protection office, notify other university officials.
    • VERIFICATION
        • At 7 days before your event, the PFW Programs with Minors coordinator will log into Ideal Logic to verify your results.
          • If you have not completed this process, your event will not be allowed to proceed.

    Process for EXTERNAL Events:

    • Register your Program in Ideal-Logic  HERE
      • This form must be completed annually
      • For repeating events, fill out one form for multiple dates/sessions. You will be able to access the form as needed for future dates/info.

      • If you are a 3rd party sponsor, you must upload your Certificate of Insurance into this form.
      • This form is required for ALL programs that are not specifically excluded.

      • After creating your Ideal-Logic Account
        • Enter information for all your program staff
        • Check full name of program staff in:
        • If you have a positive result from either website, immediately notify your on campus event sponsor so that they can confer with Human Resources and Compliance for a determination on the participation of that participant.
        • NOTE: Program Director may not rely on professional licensure or checks conducted by other organizations for your program staff.
        • NOTE: Purdue affiliated faculty/staff/students are no longer excluded from this check.
        • These checks must be conducted, at minimum, every 12 months

    PLEASE NOTE:

      • External Programs do not need to specifically use Purdue training methods. You are permitted to use your own training and your own background checks. You are not required to file anything with us (other than the register your event here) but in the event that something were to happen you would need to provide proof of background checks and training during the audit. You are liable for all persons staffing your event.
