Catering for Private Rentals/External Clients

For Events at Purdue University that involve food but are not serving alcohol, you may use any licensed caterer of your choosing. Visit EHS Food Service and Safety website for more information on safety regulations. Home-made items cannot be served at Events on Campus. The Special Events office must be notified in advance if you intend to utilize a caterer and/or the catering areas.

  • All caterers must be self-contained.
  • Your catering contract must include all table linens.
  • You or your caterers are responsible for clean up immediately after the event. The facility must be left in “broom clean” or better condition. Caterers must collect all trash generated from the event on the night of the event. Failure to comply could result in additional cleaning fees. 
  • Caterers may only utilize propane stoves or grills generating smoke outdoors only.
  • Caterers must remove all items at the end of the event including food and equipment provided by them.  

For Events at Purdue University that are serving alcohol, you must use an approved campus vendor.  Choose from the following list of caterers:

A Request for Alcoholic Beverage Service (AB-1) Form should be obtained from the Special Events office as soon as you select your caterer. The form must be completed, signed and returned to the Special Event Office at least four (4) weeks prior to your event date. 

  • If alcoholic beverages are planned as part of your event, fees for security and additional staffing will be added to the rental contract.
  • Approved caterers are not obligated to provide bar service without also being awarded your food contract.

Selling Food on Campus

If you are intending to SELL food as part of your event, you are required to select a vendor from the pre-approved list. 
If the vendor you are wanting to use is not on this list, have them contact [email protected] asap and they will be sent the list of required documentation. 

If your event is only SERVING food and will not be selling it, you may use any licensed caterer of your choosing.

If your event is serving ALCOHOL, you must choose from the pre-approved alcohol vendor list above.

NOTE: Any pre-approved vendor that is selling food for an event is also required to submit THIS registration for each event they will be participating in.  

Purdue Fort Wayne has signed exclusive rights with several campus vendors is primarily a Pepsi campus and thus only Pepsi products can be sold.  You can find more information about these exclusive agreements on the Purchasing and Support Services website
