Walb Union Meeting Rooms Cancellation Polices

  • In the event of cancellation by the client, any payments made to Purdue Fort Wayne are forfeited. See page 2 of contract, item # 7.
  • Any cancellation by the renter must be received in writing in the Special Events Office. (Email is fine)
  • Events that are cancelled "day of" due to inclement weather will not be charged a late cancellation fee as long as the group representative contacts our offices at least 4 hours prior to their scheduled event start time to notify us of the weather related cancellation.  
  • Purdue Fort Wayne’s obligation to make the facility available will be relieved if anything outside of its control prevents the facility from being available at the date and time scheduled for the event.  This includes such occurrences as natural disaster, fire, destruction, war, governmental order, quarantine and administrative evacuation (i.e. bomb threats) or other forces or events outside of Purdue Fort Wayne’s control.  If such occurs, Purdue Fort Wayne will refund the renter’s deposit and fee already paid in full, but will have no other liability due to such cancellation or unavailability of the use of its facility.

Co-Sponsored, External or Private Rental  

Definitions: 

  • Cancellation: canceling anytime up to 30 days prior to your event
  • Late Cancellation: canceling 30 days up to 7 days before your event
  • No Show: canceling with less than 7 days to your event or not showing up for your event

Fee Structure

  • Cancellation Fee: $ 0
  • Late Cancellation Fee: 50% of Original Rental Fees
  • No Show Fee: 100% of Original Rental Fees

Departmental, Faculty, and Staff Events

Definitions: 

  • Cancellation: canceling anytime up to 3 days business days before your event
  • Late Cancellation: canceling 3 business days up to 4 hours prior your event.
  • No Show: canceling with less than 4 hours to your event or not showing up for your event.

Fee Structure

  • Cancellation Fee: $ 0
  • Late Cancellation Fee: $ 50.00
  • No Show Fee: $ 75.00

Student Groups

Definitions: 

  • Cancellation: canceling anytime up to 3 days business days before your event
  • Late Cancellation: canceling 3 business days up to 4 hours prior your event.
  • No Show: canceling with less than 4 hours to your event or not showing up for your event.

Fee Structure

  • Cancellation Fee with more than 3 business days notice: $0
  • Late Cancellation or No Show:
    • 1st Offense: Warning letter to Student Organization
    • 2nd Offense: Loss of scheduling privileges in Walb Union and/or Neff Hall, room 101 for remainder of semester and all remaining events/meetings scheduled for that student group cancelled in Walb Union, and/or Neff Hall, room 101 as appropriate, and sent to registrar to schedule into a general use classroom. Student group needs to complete new forms at the Student Life office to schedule into a general use classroom.
